Troubleshooting and understanding the Pickler product import template

Use the Pickler product import template to add or update multiple products at once. The template is an Excel file with several sheets for general product data, packaging components, transport, end-of-life data and compliance information.

This article explains how to fill in the template correctly and avoid common import issues.

Before you start

Always use the original Pickler product import Excel template.

The file must:

  • Be an .xlsx file

  • Stay below 10 MB

  • Remain a multi-sheet Excel workbook

  • Keep the original sheet names and column headers

  • Contain no more than 10,000 product rows

Do not convert the file to CSV. The import uses the different sheets in the workbook to understand how product, packaging, transport, end-of-life and compliance data are connected.

Keep the sheet structure unchanged

The template contains several sheets. These sheets should not be renamed, removed or substantially changed.

Important sheet names include:

  • Product general data

  • Product (component) #1, Product (component) #2, etc.

  • Pack

  • Case

  • Pallet

  • Transport legs

  • End of life

  • Compliance

You can leave sheets or fields empty if they are not relevant, but the sheet structure itself should stay the same.

Do not rename column headers

The import expects exact column names.

Examples of column headers that must stay unchanged are:

  • ID

  • Name

  • Material weight (gr)

  • Transport calculation

If a column header is changed, Pickler may not recognise the field and the data may be ignored during import.

Use Product IDs to connect data across sheets

Every product must have an ID in the Product general data sheet.

The product ID is the key that connects all data across the template. Pickler uses this ID to match data from the component, pack, case, pallet, transport, end-of-life and compliance sheets to the correct product.

Important rules:

  • Every product must have an ID

  • Rows without an ID are ignored

  • Product IDs must be unique in the Product general data sheet

  • Use the same ID across other sheets to connect data to the product

  • If the ID already exists in Pickler, the product will be updated

  • If the ID is new, a new product will be created

Example:

If product ABC-001 is listed in Product general data, then rows with ABC-001 in Product (component) #1, Transport legs or End of life will be connected to that same product.

Row order does not matter

Rows do not need to be in the same order across sheets. Pickler matches data based on the product ID, not on row position.

For example, product ABC-001 can be on row 5 in Product general data and on row 20 in Transport legs. As long as the ID is the same, the data can be connected.

Data on other sheets is only imported when the ID matches a product in Product general data.

Avoid duplicate rows with the same ID on the same sheet. If there are duplicates, only one matching row may be used.

Fill in numbers and percentages correctly

Numeric fields must contain valid numbers.

Use simple decimal formats, such as:

  • 12.5

  • 12,5

Avoid thousands separators, such as:

  • 1,234.56

  • 1.234,56

Percentage fields should be entered as whole percentages.

For example:

  • Enter 25 for 25%

  • Do not enter 0.25 for 25%

For grouped percentage sections, the values should add up to 100%. This applies, for example, to end-of-life mixes or end-of-life region shares.

Use dropdown values where available

Some fields use fixed values or dropdown options. Use the values provided in the template where available.

This helps Pickler recognise the data correctly.

Examples:

  • Yes/no fields should use Yes or No

  • Product status should use valid values such as Draft or Verified

  • Production methods should use the provided template values

  • Printing methods should use the provided template values

  • Transport methods should use the provided template values

Avoid free-text alternatives when a dropdown value is available. For example, use the provided transport method instead of writing your own version.

Updating existing products

You can use the import template to update existing products.

If the product ID already exists in Pickler, the import will update that product. If the product ID is new, Pickler will create a new product.

For safer updates, we recommend exporting the existing product data from Pickler first. Then edit the exported spreadsheet and re-import it.

Blank cells are generally ignored. However, some grouped sections can replace existing data. Avoid deleting existing rows or values unless you intend to change or remove that data.

Common import issues

A product is not imported

Check whether the product has an ID in the Product general data sheet. Rows without an ID are ignored.

Data from another sheet is not connected to the product

Check whether the ID on that sheet exactly matches an ID in Product general data.

A field is ignored

Check whether the column header was changed. Pickler expects the original template column names.

A number is not accepted

Check whether the number uses a simple decimal format and does not include thousands separators.

A percentage looks incorrect

Check whether the percentage was entered as a whole number. For example, use 25 for 25%.

A dropdown value is not recognised

Check whether the value matches one of the template values exactly.

Final checklist before uploading

Before uploading the file, check the following:

  • The file is an .xlsx file

  • The file is below 10 MB

  • The workbook still contains the original sheets

  • Sheet names have not been changed

  • Column headers have not been renamed

  • Every product has a unique ID in Product general data

  • The same ID is used across sheets to connect data

  • Numeric fields contain valid numbers

  • Percentage groups add up to 100%

  • Dropdown fields use the template values

  • The file contains no more than 10,000 product rows

When the file is ready, upload it in Pickler to import or update your products.
